Khayalo
Accounting firm pack

Month-end, without the month-end panic.

Khayalo's accounting pack handles the receipt filing, deadline tracking, and SARS correspondence your team would rather not spend Friday evening on. Your accountants focus on the work clients actually pay for.

Pains we solve

Does any of this sound like your Tuesday?

Two hours a day chasing clients for missing receipts and bank statements.
A VAT201 missed because the reminder was in somebody's head, not the system.
SARS letters landing in inboxes and nobody sure which client they're about.
Year-end starting in January instead of November because nothing was drafted early.
What's in the pack

6 systems, built and tuned for accounting firms.

Year-end prep reminders

Tiered client-specific reminders at 60, 30, and 7 days. Each with a checklist drawn from last year's working papers.

Receipt & invoice filing

Clients forward receipts via email or WhatsApp. System categorises, posts to Xero or Sage, flags anomalies.

Monthly client check-ins

Drafted personal check-ins per client. Partner or senior approves, then sends.

SARS correspondence summaries

SARS letters parsed into plain-English action items, routed to the right accountant with the deadline attached.

Deadline tracking

VAT201, EMP201, IT14, provisional tax, CIPC annual return. Tracked against your actual client list.

Audit-trail helper

When an auditor or a client asks for a document, system surfaces it from the right folder in the right format.

Typical outcome
25% faster month-end close, 50% fewer late statutory submissions

For a 40-client accounting firm running the full pack.

Baseline 8 days to month-end close drops to 6. Two accountant-days a month at R700/hr × 8hrs equals R11 200 a month recovered. Illustrative, based on comparable engagements.

Compliance & trust

Built to satisfy the regulators you already answer to.

Client financial records stored on SA infrastructure. No cross-border processing without explicit client consent.

IRBA & SAICA/SAIPA

Audit-trail retention and professional-standards alignment. System never signs off or certifies on behalf of a member.

SARS record-keeping

5-year retention on all processed records. Surfaced on request for SARS queries or client audits.

Questions partners ask us

The honest ones, answered honestly.

Does the system sign anything on our behalf?

No. Every outbound SARS submission, client letter, or statutory filing waits for a human sign-off. The system drafts and files. A member signs.

What happens when a receipt looks wrong?

Anomalies (duplicate charges, VAT mismatches, unusually large amounts) route to your queue with the reason flagged. Nothing is posted automatically.

Can we keep certain clients out of the system?

Yes. Per-client opt-out is built in. Sensitive mandates, high-net-worth individuals, and specific engagements can stay fully manual.

Does it work with our legacy Pastel install?

Yes. Pastel is a first-class integration. We also support Xero and Sage natively.

What about CIPC filings?

CIPC annual returns are on the tracker. We draft reminders and surface the paperwork. Final submission is done by your team.
