Khayalo
Property management pack

The Monday backlog that never arrives.

Khayalo's property pack handles tenant queries, maintenance triage, lease renewals, and rent reminders across the week, not just business hours. Your property managers spend Monday morning on tenants, not voicemail.

Pains we solve

Does any of this sound like your Tuesday?

WhatsApp messages from tenants about the geyser, piling up between Friday 17h00 and Monday 08h00.
Maintenance calls routed to the wrong contractor because nobody has time to check the matrix.
Lease renewals slipping past the 60-day mark because nobody noticed the reminder.
Rent defaulters getting a polite reminder the first time, and then nothing until the lawyer.
What's in the pack

6 systems, built and tuned for property managers.

Tenant query handler

Rent, maintenance, lease, and admin questions answered via WhatsApp. Anything complex routes to your office.

Maintenance triage

Tenant sends a photo. System classifies the issue, dispatches the right contractor, and requests a quote.

Lease renewal drafts

60-day-out renewal drafts sent to tenants for signature. Owner approvals built in for variations.

Tiered rent reminders

Polite reminder on day 1 late, firmer on day 7, formal letter on day 14. Payment link attached to each.

Inspection scheduling

Entry and exit inspections auto-scheduled, reminders sent, checklist attached for the inspector.

Contractor coordination

When a job needs two contractors (plumber then tiler), the system sequences them and updates the tenant.

Typical outcome
60% fewer after-hours maintenance calls to the property manager

For a 300-unit property management company running the full pack.

Baseline ~25 after-hours calls a week drops to ~10. Property manager recovers ~8 hours a week of personal time. Worth more than rands, but at R400/hr equivalent that's R3 200 a week. Illustrative, based on comparable engagements.

Questions partners ask us

The honest ones, answered honestly.

Who authorises a contractor being dispatched?

You do. Every dispatch waits for your approval unless you've pre-authorised jobs below a threshold (for example R1 500) with a specific contractor list.

What happens when a tenant is in dispute?

Disputed accounts are automatically flagged for human-only handling. The system steps out and routes every message to you.

Does it integrate with Payprop?

Yes. Payprop is the dominant SA property management platform, and we integrate first-class. Rentbook, WeConnect, and RedRabbit are also supported.

Can owners see what the system sends?

If you give them a view role, yes. They see outbound tenant communication and maintenance dispatch, but not other owners' data.

What about deposit refunds?

Deposit calculations stay with your team. The system drafts the refund communication and attaches the statement. A human approves before anything leaves.
